Keeping Track of Gigs ??
Hey guys! I'm struggling keeping track of all of my gigs. Who I've sent contracts to, who has sent them back, who's sent deposits, etc.
I am out of the house a lot and have apps on my phone for everything. EVERYTHING. I was wondering if any of you know of any good business apps that help keep track of stuff like this.

I call mine... paper. Daytimer records everything, hotsheets with specific on each gig, contracts on the board in chrono order... but I'm old school.

I wish I could do that. I have 3 kids and we are ALWAYS on the go. Most of the business phone calls I recieve are when we are not at home. Just today, while at church, I had 2 calls which I returned before we ate at the restaurant. It's getting out of hand. lol.

I use Google/Gmail/Calendar for nearly everything in my life. I have color-coded individual calendars on my Google calendar: one for TGC, a couple for my "real" job (lol), one for personal appointments, etc. I have multiple Gmail accounts, and can link them all via the calender. I can also see weather at a glance, holidays, etc.
When I send out a contract, list the appointment on my calendar this way:
TGC: TENTATIVE: Smith Party 1p-3p
That way, at a glance, I can see who has contracts out.
When they send back the contract and the deposit, I take out the "tentative." There is a "description" area on the appointment where I add info like theme, anticipated #of participants, guest of honor info (Sam, Age 5, DOB, likes blue trucks, etc), and venue info.
There is also a spot on the calendar appointment to include the location - so when I get in the car, I bring up the Google calendar app, click on the location, and it brings up a Google map with route. Then, I open up the TripCubby app to keep track of mileage for tax purposes.
Google calendar will send me Text reminders and email reminders for different kinds of appointments. I also get a daily email of all my appointments at 4:45a each morning so when I wake up, I can check it. I also keep the app open on my phone so I add stuff if I'm out and about.
I also share the calendars with my fiancee so he knows when I'll need the car for gigs, when I'm at the "real" job, when important dates are, etc.
If you buy Outlook, it also does all of this and you can sync it with your smartphone.

You are so smart!! I use google for everything else, why didn't I think of this. I even have an Android phone that basically RUNS on Google. Thanks so so much!

TapForms... I use it on my ipad (don't know if they have it for android or not) ... it's what I use for all my booking forms, every bit of information that I take from the clients goes into TapForms. You can create your own forms to fill out with text, number, dropdown or check box fields... as little or as much as you want and just fill out the form as you talk to them, get their deposit, sent this or that, just check the box.
Cozi is our family's choice for a shared calendar and shopping lists by the way... it's super awesome.

I still use a paper calendar to. =0) that app sure sounds awesome though!! Ill be checking into that one for sure.
